Vestry Meeting-----December 21, 2011

Present: Senior Warden Jim Moore, Junior Warden Joe Mancuso, Vestry Members John Virgilio,. Bob Baumann, Ginny Carter, Kathryn Standard and Gail Hinesley, Vicar Jim Williamson, Treasurer Pat Moore and Clerk Irene Pooser

     The Vestry of St.Edmund’s Church met on Wednesday, December 21st, 2011, in the Parish Hall. The meeting was opened at 7:30 with prayer by Father Jim Williamson who then chaired the meeting. The minutes of the November meeting were approved on a M/S by Baumann/Mancuso.

Reports:

Treasurer:
The following November reports were distributed: Income/Expense, Balance Sheet, All Designated Accounts, Income/Expense Budget Performance and Food Pantry. After explanation and discussion the treasurer’s report was accepted on a M/S by Hinesley/Mancuso.

On a M/S by J.Moore/Standard it was decided that a designated Christmas tree fund be created and that expenses resulting from the tree sale be paid from that account. On a M/S by Baumann/Mancuso it was approved that we split evenly the net profit from the sale with St.Margaret’s Church.

The Wednesday night dinners continue to be well attended in spite of the difficulty of securing volunteers to prepare the food. Jim Moore pointed out that the Vestry could appropriate out of the 2012 budget, from "Wednesday Dinner" under "Expenses", the sum of $100.00 per week to pay a chef who would be required to buy the food, cook the meal and clean up afterwards. Food purchases would be reimbursed. A budget was suggested of approximately $80.00 for reasonable purchase of food items for approximately 20-25 persons and would be adjusted based upon the size of the group to be served. There would be three Wednesday night meals served per month which would cost $3600 per annum to be taken out of the $4500.00 2012 Wednesday Dinner budget. The food purchases would be paid out of the donations each Wednesday night and the $900.00 remaining in the budget.The difficulty in securing volunteers for coffee hour has possibly resulted from the elaborate refreshments being provided. A suggestion was made that we return to simpler fare.

Father Jim directed that any invoices from the Hispanic Ministry should be sent to the Diocese for payment.

The proposed budget for 2012 was presented and discussed. The treasurer commended Mike and Lavenia Carter for their excellent job as Stewardship Chairs. She also commended the members of the congregation of St.Edmund’s for their generosity and faithfulness. At this time there are twenty-seven pledging units, but that number may increase. On a M/S by Hinesley/Mancuso, the proposed budget for 2012 was approved.

Contribution envelopes are ready for distribution. Members are urged to discard envelopes from previous years.

Junior Warden:
Problems persist with the security system in the church and the parish hall.

It was requested that the Senior Warden make sure the yard lights are plugged in Christmas Eve.

Priest:
We continue to have problems with our copy machine. After several service visits and a bill for $900, the machine is still malfunctioning. The Senior Warden will communicate with the company concerning the service and the bill.

Old Business:

There are now two nominations on the slate for new Vestry members: Mike Carter and Bob Harrington. Nominations will be accepted from the floor at the Annual Meeting.

We have received one value assessment ($35,000) on the nursery being considered for purchase by the church. Hopefully, one or two more assessments will be provided at the January meeting.

New Business:

We are losing the keyboard used in Sunday services which was provided on a temporary loan basis. John Virgilio and Gail Hinesley both offered to bring theirs in from home for consideration.

Kathryn Standard provided a report on the Diocesan meeting on the Hispanic Ministry. The next Hispanic service scheduled at St.Edmund’s will be at 7:00 on Epiphany.

     The January Vestry meeting will be held on Wednesday, January 18th.

     The meeting was adjourned with prayer at 9:00.


Vestry Meeting---November 16, 2011

Present: Senior Warden Jim Moore, Junior Warden Joe Mancuso, Vestry Members Kathryn Standard, Ginny Carter, Bob Baumann, Gail Hinesley and John Virgilio, Vicar Jim Williamson, Treasurer Pat Moore, Clerk Irene Pooser and Guest Kathleen Gallagher

     The November 16, 2011, meeting of St.Edmund’s Church Vestry was opened with prayer at 7:40 by Father Jim Williamson who then chaired the meeting. A quorum was declared. Visitor Kathleen Gallagher was recognized and welcomed. Kathleen then presented a beautiful,unique cast iron bell to the Vestry for use by the church. Appreciation was expressed to Kathleen as she left. The minutes of the October meeting were approved on a M/S by Mancuso/Baumann.

Reports:

Treasurer:

The treasurer distributed and explained the following reports for October 2011: Income/Expense, Balance Sheet, All Designated Accounts, Income/Expense Budget Performance and Food Pantry. The reports reflect the vicar’s quarterly pension payment.

On a M/S by Moore/Hinesley it was decided to provide from the stained glass designated fund a $700 payment to John Virgilio to begin his work on the new stained glass for the parish hall.

On a M/S by Moore/Standard, a payment of $100 from the Youth Ministry designated fund was approved for Los Valenzuela to attend New Beginnings.

Discussion followed on the outreach funding provided by the parishioners of St.Edmund’s.

The treasurer’s report was approved on a M/S by Mancuso/Virgilio.

Senior Warden:

On a M/S by Hinesley/Mancuso, the purchase of 50 Forward Movements publications in Spanish was approved in accordance with Deacon Vaughn’s recommendation.

Work continues on our facility doors.

Hopefully, the parking lot barriers can be moved into place using hand carts.

A new letter of agreement with the Vicar in accordance with canon law needs to be prepared. Jim Moore will draft and present this agreement.

Junior Warden:

Retiring Vestry members Joe Mancuso and Ginny Carter have secured three names for nomination for the Vestry: Mike Carter, Kathleen Gallagher and Bob Harrington.

On a M/S by Mancuso/Moore, a check for $350 out of the outreach money will be given to Mike Carter for the purpose of the purchase of Bibles to be distributed as needed.

Priest:

Ginny Carter, Jim Moore and Jim Williamson toured the nursery across the street from the church and discussed the church possibly purchasing the property with the nursery operator. Three brokers will be asked by the Vestry to assess the property value before the next Vestry meeting.

The Hispanic service at St.Edmund’s will begin on Sunday, December 11, 2011, at 2:00. Banners and flyers have been ordered. The Diocese is funding this ministry for one year; funds will be provided before 2011 ends to be used in 2012. Bishop Garrison and clergy members Ted Copland and Maggie Gatt have volunteered to celebrate the services, but they will be provided with travel money from the grant.

Calendar:

The Christmas Tree Sale begins the Friday after Thanksgiving and will be ongoing throughout December.

Old Business:

We have not yet received a signed letter of agreement with the sexton.

New Business:

It was agreed that there is a need to verbalize our outreach accomplishments.

More repairs have been necessary on our printer, but the cost is still below the $2400 required for a service agreement. The possibility of trying a different service provider was favorably received.

There is a need for a Wednesday night Dinner chairperson to insure that every Wednesday night is covered.

     The next Vestry meeting will be on December 21st at 7:30.

 October 19, 2011 VESTRY MEETING

Present: Senior Warden Jim Moore, Junior Warden Joe Mancuso, Vestry Members John Virgilio, Kathryn Standard, Bob Baumann, Ginny Carter and Gail Dawn-Hinesley, Treasurer Pat Moore, Priest Jim Williamson and Clerk Irene Pooser

     The Vestry of St. Edmund’s Episcopal Church met in the Parish Hall for the regularly scheduled meeting on October 19, 2011. The meeting was opened with prayer at 8:00 by Father Jim who then chaired the meeting. A quorum was declared and the minutes of the September meeting were approved on a M/S by Hinesley/Mancuso.

Reports:

Treasurer:

The following September reports were distributed and discussed after explanation: Income/ Expense, Balance Sheet, All Designated Accounts, Wednesday Dinners Through Oct.12, Food Pantry, and Income/Expense Budget Performance. Two quarterly payments (SECA and Insurance) are reflected in the totals on the Income/Expense report.

The Book Sale produced an original profit of $601.75. On a M/S by J.Moore/Carter the following was done: $350 of that profit was transferred to a Cursillo Account and the remaining $251.75 was placed in a Diocesan Activities Account to be accessed with Vestry approval. An additional $300 profit from the Book Sale was placed in the Stained Glass Window Fund.

It was decided on a M/S by J.Moore/Hinesley that an $80 weekly budget be established for the Wednesday night dinners.

The Proposed Budget for 2012 was presented. This is a work in progress. St.Edmund’s is expecting $8000 in funding from the Diocese to provide clergy for a Spanish language Mass to be held every other week beginning December 11.

Mike and Lavenia Carter will be serving as the Co-chairs for the 2012 Stewardship Drive.

The Treasurer’s Report was accepted on a M/S by Mancuso/Baumann.

Senior Warden:

There has been a delay in providing the new hardware for the doors of our facilities.

The worker’s compensation posters are up.

The Day Care facility sale is still simmering.

Concrete posts have been donated to mark the boundary line between the Parker House and the church parking lot.

No signed documents requiring annual review of clergy can be located. Following the upcoming convention, Father Jim or the Senior Warden will check with the Bishop’s office to ascertain if such documentation is located there.

Junior Warden:

A job description letter has been provided to the sexton and hopefully a signed copy will be returned.

The garden surrounding the church sign is a work-in-progress by Bob Carter.

Priest:

Kathryn Standard and Ginny Carter will be our delegates to the diocesan convention; Gail Hinesley is the alternate.

A meal for those interested is being planned for 6:00 P.M. Thanksgiving by Kathleen Gallagher and Rosemary Thunelius. Father Jim will meet with the neighboring Methodist and Presbyterian ministers concerning the possibility of an Ecumenical service on the Tuesday or Wednesday before Thanksgiving.

Old Business:

A signed letter of agreement with church organist Ann Jefferds was provided.

A problem continues with the alarm not being set at the Parish Hall by groups using the facility.



New Business:

A thank you letter was read from Joni Kalinowski from the Senior Friendship Center.

An update on the outstanding service provided by St.Ed’s Shed was shared.

An Annual Community Trick or Treat event is planned at the Turner Center on Monday, October 31st from 6:00 to 8:00. Free booths are offered with setup by 5:00. A booth will be requested by St.Edmund’s with Ginny Carter, Joe Mancuso and Jim Moore volunteering to man the booth. Others may also help.

On a M/S by J.Moore/Mancuso it was decided that the salaried nursery attendant will continue after the end of month only on an "as needed" basis due to the lack of need for a nursery at this time. Father Jim will explain this to Cassie Starrett.

Ginny Carter was authorized to phone for copier service and repairs as needed. John Virgilio volunteered to work with her on copy repairs that can be done in-house.



     The next Vestry meeting will be on November 16th. The meeting was adjourned with prayer at 9:30.
